How it works

Two clear workflows: one for the coach or organizer booking the session, one for the parent or guardian approving each athlete's cards.

The Studio Process

    Photo Day

    Studio or on-location portraits for every athlete and team.

    Player Story Collection

    We collect parent-approved player details, stories, goals, favorite memories and optional season information.

    Custom Design

    We create every athlete's complete collectible set.

    Proof & Approve

    One correction round; only approved cards move forward.

  5. 05

    Print, Pack & Deliver

    Approved cards are printed and assembled into sealed packs.

Organizer workflow

  1. 01Coach, league or team representative submits an inquiry.
  2. 02Studio confirms team size, sport, location, schedule and selected package.
  3. 03Organizer signs agreement and pays deposit.
  4. 04Studio creates a private team registration link.
  5. 05Organizer distributes the link to parents/guardians.
  6. 06Dashboard shows roster-completion status but protects private family information.
  7. 07Photo day or game coverage occurs.
  8. 08Studio edits images and builds card designs.
  9. 09Guardians receive private proofs.
  10. 10One correction round is completed.
  11. 11Guardians approve.
  12. 12Approved cards are printed, packed and delivered.

Parent / guardian workflow

  1. 01Open the private team link.
  2. 02Create or access a guardian account.
  3. 03Add an athlete.
  4. 04Provide consent.
  5. 05Submit the athlete's name, jersey number, position, team, Rookie Story details and any optional approved statistics.
  6. 06Select approved athlete images when applicable.
  7. 07Review the private card proof.
  8. 08Request one correction round or approve.
  9. 09View final digital cards.
  10. 10Track pack/order status and reorder later.

Every personalized card is delivered as a private digital proof before production. The parent or guardian reviews the athlete's name, jersey number, position, team, photograph, Rookie Story information, optional statistics and complete card design before production. One correction round is included. Printing begins only after final approval.
