Privacy Policy

Rookie Edition Studio works with youth athletes, so we collect only the information needed to plan a session, personalize cards and deliver an order.

Information we collect

• Inquiry details: name, email, phone, role, team/organization, sport, approximate number of athletes, desired package, preferred dates, location and message.
• Athlete registration submitted by a parent or guardian: guardian name, email and phone; athlete name, birth year or age division, jersey number, position, team, sport, season/year, optional parent-approved statistics, Rookie Story details and an optional short athlete quote.
• Consent records and communication permissions.
• Photographs captured during a session or submitted by a customer for review.

We do not request unnecessary sensitive information about minors. Please do not submit medical, financial or government identification details for a minor.

Accounts belong to adults

Card Vault accounts are created and controlled by parents, legal guardians or authorized adult representatives. Minors do not hold accounts.

How we use information

• To schedule and deliver photography sessions.
• To design, proof and produce personalized cards.
• To record consent and proof approvals.
• To communicate about a booking, proof or order.

Visibility of athlete data

Athlete profiles and private proofs are not published publicly and are not indexed by search engines. Coaches and organizers can see roster completion status only — never guardian payment information or unnecessary private family data.

Sharing

We share information with service providers only as needed to run the business, such as print production and payment processing. We do not sell personal information.

Retention and deletion

Guardians may request deletion of their account and their athlete's data from the Card Vault or by contacting the studio. Some records may be retained where required for legal, accounting or dispute purposes.
